Project Coordinator

Snibbe Interactive (www.snibbeinteractive.com) is seeking a Project Coordinator capable of effectively leading projects and processes from end-to-end. The successful candidate will be able to balance an administrative role while working closely under the Project Manager to lead projects through their full life cycle.

Administrative Responsibilities: 

  • Provide general administrative support to our staff by managing calendars, assisting with travel logistics, setting up conference calls and meetings, assisting with faxing and scanning, and booking reservations for weekly lunches and special events.
  • Provide general office reception by answering the phone, transferring calls, and passing on messages, as well as greeting office guests and receiving and sorting mail and packages.
  • Assist with the recruiting process by posting jobs to our website and craigslist, reviewing resumes, delivering eligible candidates to the hiring managers, and assisting with the preparation of new hire documents.
  • Coordinate shipping needs for both domestic and international shipments, including all customs paperwork.
  • Assist with purchasing for office and project supplies using online ordering forms, send email requests to vendors, update a Filemaker database for equipment tracking, and assist with paperwork for credit terms.
  • Conduct online and phone research for office and project needs and report the information in condensed and organized formats (basic knowledge of Excel required).  
  • Provide internal technical support assistance and create internal procedural documentation.
  • Keep the office clean, orderly and secure by implementing internal procedures and working with external vendors.
  • Support the project manager as needed.

Project Leadership Responsibilities:

  • Be a consistent contact point for a client throughout project execution and delivery.
  • Determine major project deliverables and timelines and communicate them to the internal team and client. Anticipate and create stepping stone goals as needed. 
  • Maintain online project organizational sites and calendars to allow project team members and client to share and access project information.
  • Proactively stay up-to-date with internal project, engineering, and creative staff as projects are executed, to assure that projects proceed according to budget, plan, schedule, and client expectations. 
  • Oversee the completion of major milestones (design document, technical drawings, prototype videos, etc.) and present them to the client, while balancing their expectations for the delivery in terms of quality and promptness.
  • Solve daily problems that arise, and remove obstacles to keep projects on schedule.
  • Work with the head of engineering and the creative director to finalize the interactive software and control quality to meet shipping and installation goals.
  • Control all aspects of the project budget, including hardware, software, and creative assets.
  • Identify potential project risks and communicate them to the internal team, supervisors, and the client.

  • Ability to balance multiple factors to accomplish administrative tasks, project execution, and other client-facing communications.
  • Solutions-oriented, positive attitude towards problems, conflicts, and collaboration.
  • The ability to engage with sophisticated and powerful clients in entertainment and corporations.
  • Proactive ability and interest in creating and improving organizational systems and processes.
  • A sufficient curiosity and understanding of software systems to comprehend our products and processes.
  • An understanding of how to manage multi-disciplinary teams.
  • B.A. in a field utilizing strong analytical and process management abilities, particularly media and interactive-media related.

Initially, you will work in a primarily administrative capacity while learning about Snibbe Interactive’s processes, products and technologies. After success in that initial period, you will begin working on leading your own projects from end-to-end while continuing to balance administrative responsibilities.
